Guide
New to cold email? Start here.
Cold email works when the boring foundations are right and breaks quietly when they're not. This is the path we'd hand a beginner — six steps, in order, each with the one thing to read and the tool to do it. Work through them and you avoid the mistakes that sink most first campaigns.
- 1
Set up your sending domain
Before you send a single email, get the DNS right. SPF, DKIM, and DMARC are the three records that tell Google and Outlook you're allowed to send from your domain — miss one and your mail lands in spam no matter how good the copy is.
Use a separate domain for cold outreach, not your main company domain, so a rough patch never touches your real inbox. Set the three records, then verify them before you go further.
- 2
Warm up your mailboxes before you send
A brand-new mailbox has no reputation. Send real campaign volume on day one and the providers treat you like a spammer, because that's exactly what a cold domain sending hundreds of emails looks like.
Warmup fixes this: automated tools slowly send and reply to build a sending history over a few weeks. Start it the day you buy the domain, and keep it running underneath live campaigns — not just before launch.
- 3
Build a clean, verified list
Your list decides your bounce rate, and bounce rate is the fastest way to burn a young domain. A few percent of dead addresses on your first send can sink a mailbox before your copy ever gets read.
Pull contacts from a solid B2B database, filter to people who actually fit your offer, then verify every address before you export. Clean the list first — fixing reputation after a bounce spike is far harder than avoiding one.
- 4
Write a sequence that gets replies
One email is rarely enough — most replies come from the follow-ups. A short sequence of a few well-spaced emails, each with a different angle, does the heavy lifting.
Keep it plain text, keep it about them, and lead with a single clear reason you're reaching out. Start from a proven structure instead of a blank page, then rewrite it in your own voice.
- 5
Send at a safe volume
More volume is not more replies if it gets you filtered. Every mailbox has a ceiling, and pushing past it spikes complaints and tanks placement — so the answer to scale is more mailboxes, not more emails per mailbox.
Work out your safe daily send per mailbox, then size your total volume around the number of mailboxes you can keep healthy. The calculator does the math for you.
- 6
Monitor deliverability so nothing slips
Cold email isn't set-and-forget. Mailboxes disconnect, warmup decays, a domain lands on a blacklist, bounce rate creeps up — and none of it announces itself. The first sign is usually replies quietly drying up.
Check on your campaigns regularly, or use monitoring that watches the numbers for you and flags a problem the moment it starts. Catching a bounce spike early is the difference between a quick fix and a burned domain.
