Monitoring tells you what broke. This fixes it.
Your sending infrastructure, managed. Authentication, blocklists, mailbox health and replacement — watched continuously and fixed directly, so nobody on your team has to remember to check DMARC on a Tuesday.
Deliverability stopped being hygiene.
Gmail, Yahoo and Microsoft moved from spam-foldering non-compliant mail to rejecting it outright. Safe volume per inbox roughly halved. What used to be a setup step is now the binding constraint on every outbound programme.
The work itself is not hard. It is constant. A DNS record edited by someone who did not know, a domain quietly added to a blocklist, a mailbox that burned out three weeks ago and still reads healthy in your platform — none of these produce an error. Your sending tool keeps sending and reports nothing wrong.
The reason it does not get done is not skill. It is that nobody's job is to check.
What's actually done
Included
- SPF, DKIM and DMARC brought to passing on every sending domain, and kept there
- Blocklist monitoring and delisting — sending domains and link-tracking domains
- Dead and disconnected mailboxes replaced or retired, on a rolling basis
- Mailboxes-per-domain structured so one burned inbox can't sink a domain
- New domains and mailboxes provisioned and warmed, in your accounts
- Bounce, warmup and volume watched per mailbox, not averaged per campaign
- A written monthly report: what changed, what was found, what was fixed
- Same-working-day contact on anything that stops your sending
Not included, deliberately
- Copywriting
- List building or buying
- Campaign strategy and sequence design
- Sending on your behalf, or handling replies
- Any promise about your reply rate
We own placement. You own copy and closing.
Anyone promising you the rest is promising something they don't control.
The 30-day guarantee
Within 30 days every sending domain passes SPF, DKIM and DMARC, every dead mailbox is replaced or retired, and fleet-wide bounce is under 3%. If not, I work free until it is.
Measured against a written baseline of your fleet that you agree in week one. Every term is defined in the contract — which domains count, what “passes” means per record, how bounce is measured and over what window. A guarantee you can't check is a dispute with a delay on it.
Price
Three-month minimum, then monthly. Includes a Coldops Scale subscription ($499/mo list) for the term — it is how the monitoring is delivered. Domains, mailbox licences and platform subscriptions are bought in your own accounts, at cost, never marked up.
On a 689-mailbox fleet, $4,500 a month is $6.53 per mailbox per month — monitoring software and the human work of fixing what it finds, together.
We don't publish a comparison table against other vendors here. Most deliverability tools put pricing behind a demo, which means any figure we quoted would be someone else's estimate rather than something you could open and check.
Who this is for
A fit
- Agencies running 40+ mailboxes across client workspaces
- Funded B2B teams building outbound where nobody owns deliverability
- Anyone who has had a domain blocklisted and found out late
Not a fit
- Under ~40 mailboxes — the software is the better answer, and we'll say so
- Looking for someone to write copy or build lists
- Wanting a guaranteed reply rate
Questions
What does managed cold email deliverability include?+
Authentication (SPF, DKIM, DMARC) brought to passing and kept there, blocklist monitoring and delisting on sending and tracking domains, dead mailbox replacement, mailboxes-per-domain structure, warmup and volume ramp, and a written monthly report. It does not include copywriting, list building, campaign strategy or sending on your behalf.
How much does deliverability management cost?+
$2,500 one-time for fleet setup and $4,500 per month for ongoing management, on a three-month minimum. At a 689-mailbox fleet that works out at $6.53 per mailbox per month, including both the monitoring software and the human work of fixing what it finds.
Do you guarantee more replies?+
No. Reply rate depends on your list, offer and copy, and we do not touch any of those. The guarantee covers what we control: within 30 days every sending domain passes SPF, DKIM and DMARC, every dead mailbox is replaced or retired, and fleet-wide bounce is under 3%. If not, we work free until it is.
Is this different from deliverability software?+
Yes, and software is included. Software tells you what is broken. It does not fix the SPF record, request the delisting or replace the burned mailbox. If nobody has time to act on the alerts, a monitoring tool is a more detailed way to find out later.
How many mailboxes do I need for this to make sense?+
Roughly 40 or more. Below that the per-mailbox economics stop working and a monitoring subscription is the better answer. We will say so rather than take the engagement.
What access do you need?+
A read-only API key for your sending platform and DNS access for your sending domains, or someone who applies changes we specify within two working days. Never your registrar login, never your inbox, never your lead lists. Domains and mailboxes stay registered in your name throughout.
